Property Management
Supervision of Staff - we manage a professional staff of property managers and maintenance crews. We use the latest project management tools and systems, including AppFolio to manage all activities associated with the operation of the properties.
Project management of emergency repairs, ongoing maintenance, and capital projects.
Management of Preventative Maintenance program to assure that all mechanical equipment is properly maintained on a regular schedule to prevent unplanned repairs.
Annual Assessment and Report - we compile an annual report on the condition of the property including recommended priorities as well as suggestions for long-term and short-term repairs, improvements, and upgrades.
Work Orders - All written and verbal requests from residents are captured in work orders and unit record log sheets. Orders are captured via web tools accessible remotely by tenants, service personnel, and our customer service property management staff.
Energy Management - GPMS staff is trained to conserve and optimize energy usage and reduce costs.
Supplies - We control inventory and prices by carefully monitoring the purchase of all supplies for our properties.
Service Contracts - We manage all service contracts for the properties we manage, including elevator maintenance, furnace, HVAC, and other mechanical equipment.
Scope of our Property Management Services
- Manage leasing process (including interfacing with leasing agents, taking tenant applications, credit checks, lease preparation, and execution, etc.).
- Develop marketing materials in conjunction with listing agent and develop Welcome Package for Tenants with property rules and regulations.
- Manage evictions and lease terminations.
- Tenant invoicing and collections.
- Oversee move-in and move-out inspections/document property's condition.
- Online and phone customer service support with Tenants and Landlords.
- Development of property policies and procedures for the operation of buildings.
- Regularly attend tenant and HOA meetings and other meetings, upon request.
- Manage and respond to tenant maintenance and repair requests.
- Schedule and oversee maintenance operations, including cleaning services.
- Engage professional contractors for maintenance and keep records of work performed.
- Apartment and commercial unit turnover management and fit out.
- Ensure repair work performed within a reasonable amount of time.
- Manage billing for any damages on behalf of the owner.
- Resolve tenant and neighbor complaints.
- Engage professional contractors, as necessary, to maintain the interior of the buildings including, but not limited to, common spaces, bedrooms, interior finishes, appliances, furniture, flooring, etc..
- Engage professional contractors, as necessary, to clean general common spaces of building outside of rented/owned areas, including elevators and stairwells.
- Facilitate inspections including annual fire marshal inspections, state housing inspections, mortgage lender inspections, insurance inspections, etc..
- Establish accounts with applicable utilities as needed, coordinate utility surcharging and payment for common area utility usage.
- Ensure compliance with any utility requirements.
- Compile and maintain financial data including income and expenditures from operations.
- Compile and maintain records associated with repairs.
- Compile and maintain records associated with complaints.
- Compile and maintain historical records including invoices and receipts.
- Conduct periodic customer satisfaction surveys.
Property Management Services
- Manage all Tenant leasing functions, including:
- application process
- reference and financial credit checks
- execution of lease agreement
- review of rules and regulations
- move-in inspection and check list.
- Support marketing activities (e.g., display of marketing materials, Bulletin displays in building lobbies, Welcome Package, etc.)
- Prompt response to all resident inquiries and complaints.
- Manage all Tenant retention, move-out and end-of-lease activities, including;

- Compliance and management of all orders and requirements of federal, state, county, and local authorities
- Management of 24-hour by 7-day emergency calls from residents and staff
- Administration of insurance policies and certificates to meet Owner's needs and reporting requirements
- Periodic meetings with the management concerning financial and operational matters
Financial Services may include
- Invoicing to Tenants
